Who we are

BI-Zen Limited ("BI-Zen", "we", "us") provides wastewater monitoring, process interpretation and engineering support. This policy explains how we use personal information when you visit bi-zen.cloud, contact us about a project or deal with us as a business contact.

We are responsible for the personal information covered by this policy. Our company number is 10215256. You can contact us at info@bi-zen.cloud or write to Unit 2B Oak Tree Business Park, Austin Close, Kingskerswell, Newton Abbot, Devon, TQ12 5GJ.

Information we collect and why

When you contact us, we collect the details you provide, such as your name, organisation, role, email address, telephone number and information about your enquiry or project. We may also receive your business contact details from your employer or another organisation involved in a project.

We use this information to respond to your enquiry, understand your requirements, prepare a proposal and, where agreed, provide our services and manage the project. We also use relevant information to administer our business and meet our legal obligations.

We normally rely on our legitimate interests in responding to business enquiries, providing services and maintaining business relationships, balanced against your rights. Where we enter into a contract with you personally, we rely on that contract or the steps you request before entering it. We rely on legal obligations for records we must keep by law, and on consent for cookies where required.

How we handle your information

Your enquiry is handled within BI-Zen. We do not sell your personal information or pass your contact details to other businesses for their own marketing.

Providers supporting our website, email and IT systems may process personal information on our behalf. We may also disclose information where required by law. We use appropriate technical and organisational measures to protect personal information and limit access to those who need it for their work.

Where service providers process personal information outside the UK, we require the transfer to be covered by UK adequacy regulations or appropriate safeguards, such as approved contractual protections. You can contact us for information about the safeguards that apply and how to obtain a copy.

How long we keep information

We normally keep enquiries that do not lead to work for up to two years after the last meaningful contact, and delete them sooner where they are no longer needed. Where an enquiry leads to work, relevant information becomes part of our client and project records.

We normally keep relevant client and project records for six years after the project or business relationship ends. Accounting and tax records are kept for at least six years from the end of the company financial year to which they relate. Some records may need to be kept longer for a specific legal, contractual or insurance requirement, or to deal with a dispute. We retain only the personal information needed for these purposes and delete or anonymise it when it is no longer required.
